Administration

There are two options for administration and billing of user licenses:

  1. Contact the VDP Team directly to order new licenses (recommended).
  2. Subscribe to our offers and included plans in Microsoft AppSource and Microsoft 365 Admin Center. For more details regarding AppSource, please refer to the official Microsoft Documentation.

An exception is the purchase of the Virtual Data Platform Excel Add-In. This can only be ordered in Microsoft AppSource and assigned to users in the Microsoft 365 Admin Center. Please find the details below.

Subscribe to Licenses

Subscribe to Licenses via VDP direct

Just reach out to the VDP Team. Once the necessary contracts have been signed, etc., the VDP Team will allocate the requested number of licenses to your VDP Tenant. As outlined in the general concept section of the user roles and licenses segments, only normal users and creators need to be ordered. The admin role is provided free of charge and assigned through a separate process, of which you can find the details below.

Subscribe to Licenses via Microsoft AppSource

All licenses can be ordered through Microsoft AppSource. Simply search for "Virtual Data Platform", and you will find a list of all licenses for users as well as the Virtual Data Platform Office Add-In for Microsoft Excel. Clicking on the appropriate license will forward you to the ordering process.

Currently, Virtual Data Platform is only available for the German Market. So in case VDP licenses cannot been found, please make sure that the region 'Germany' is selected in the upper right corner of the website.

An overview of all licenses required is given in the Overview section of each app, e.g., in Virtual Data Platform User License. You can chose the plan you need depending on the required number of users and features. Once subscribed, all administrative tasks can be done within your Microsoft 365 Admin Center. For additional details, please refer directly to Microsoft AppSource.

Assign a License to an User

The assignment of user licenses is different for the User licenses and the licenses for the Office Add-In and depending on if you use the Microsoft AppSource or contact VDP directly. Therefore, we differentiate in the following subsections.

User Licenses

User Licenses via VDP direct

After purchasing the licenses, they can be assigned accordingly. The process differs depending on whether you want to assign a global admin, which is done through Azure, or assign users to use Virtual Data Platform, such as normal Users and Creators, which are assigned directly within the Portal.

It is important to note that only the admin can assign and manage user licenses, and therefore must be assigned first.

In order to assign a global admin role, go to the Azure Portal and follow these steps:

  1. In the Azure Portal: Open the Enterprise Application 'VDP Global SignIn'.
  2. Navigate to 'Users and groups'.
  3. If there are already existing users, select the relevant user(s) and add the 'VDP Admin' role to them via 'Edit assignment'. Alternatively,
  4. if no users exist yet, select the user through 'Add user/group' and add the 'VDP Admin' role under 'Selected role'.

The admin user now has the capability to assign roles to other users based on their preferred usage. This action can be performed within the Portal's corresponding menu. For additional details, please refer to the documentation provided in that section.

User Licenses via Microsoft AppSource

In case of using Microsoft AppSource, all of the User Licenses can be assigned in the Microsoft 365 Admin Center in the menu licenses. Besides the licenses of Virtual Data Platform many other licenses of various applications can be listed here.

In order to assign a license to a user, follow these steps:

  1. Click on the license linked to the specific role.
  2. A list will be shown with all current users who are assigned to this license.
  3. Additionally, you see the available licenses that are left for assignment.
  4. To add a user, click on "Assign Licenses."

To unassign a license from a user, follow these steps:

  1. Mark the user in the list.
  2. Click on "Unassign License" to remove the license from the selected user.

Office Add-In Licenses

Just as the Usere Licenses the Office Add-In Licenses have to be assigned to users. Excel Add-In licenses can be administrated and assigned to within the Microsoft 365 Admin Center within the menu "settings" and "Integrated Apps". There is a list of all available apps as well as the "VDP Wizard".

Just click on it and a side window will pop up and provide information about the current assignments and other informations. Within "Edit users" you can assign and remove users.

In order to assign a license to a user, follow these steps:

  1. Search for the user or a group, usually by the email address, and click on it.
  2. In case you want to add several users, repeat step 1.
  3. After selecting all users, click on the "Update" button.

To unassign a license from a user, just click on the "X-Button" on the right side of the user.

Instead of assigning the licenses to each user separately, it is also possible to assign the licenses to a Microsoft Entra ID group.
